We are excited to offer this opportunity to join our North East Area as a Secretary. This role provides essential administrative support to 7 members of our senior Area Leadership Team. It focusses primarily on coordinating diaries, managing meetings, and ensuring our Leaders are well supported with their day to day scheduling needs.
Tasks that the successful candidate will complete include:
- Managing the secretarial support mailbox, responding to queries, and escalating as appropriate
- Coordinating ongoing and ad hoc meeting schedules, ensuring calendars remain accurate and up to date
- Proactively monitoring upcoming meetings to identify potential scheduling conflicts and raise these with the relevant colleagues
- Supporting the arrangement of department meetings by planning and booking meeting venues
- Arranging travel requirements in line with organisational policies
- Updating internal trackers, logs, and spreadsheets, ensuring information is current and shared appropriately
- Providing general administrative assistance to the wider team, support day to day operations
- Handling confidential information sensitively

The Secretary role sits within our Business Office Team, which acts as the central business support hub for the North East Area and forms part of the Environmental Planning and Engagement Department.
The Business Office Team delivers a wide range of behind the scenes functions, providing essential administrative and business support services across the area and directly to our Area Leadership Team.
The successful candidate will be able to:
- Build positive working relationships and work closely with members of our senior Area Leadership Team
- Manage and organise multiple busy diaries, anticipating potential scheduling conflicts and taking a proactive approach to resolving them
- Prioritise own workload effectively, balancing tasks from a range of sources and adapting to changing deadlines
- Work independently and use own initiative, recognising when to seek guidance
- Stay organised and methodical, supporting efficient team working
- Use Microsoft Office applications confidently, particularly Outlook and Teams
- Communicate clearly and professionally, both in writing and verbally with colleagues at all levels
- Demonstrate flexibility, supporting a broad range of administrative tasks as part of the Business Office Team

The base location for this role is Tyneside House, Skinnerburn Road, Newcastle-upon-Tyne. The successful candidate will need to attend the office at least one day per week, dependent on business need.
